Account and Subscription
What am I entitled to within my subscription?
The basic TrueDataShare subscription entitles you to 5GB of virtual data room storage space, unlimited number of users and ongoing technical support. Additionally, you can subscribe for our virtual data room management service and delegate the virtual data room setup, files upload, permissions definition and users management to our in-house professionals. You also get priority support by a dedicated Account Manager.
What is the time period of my subscription and how can I extend it?
You can subscribe for a virtual data room for a fixed amount of months and you can extend the period of your subscription upon request.
How long is the account activation link active?
The account activation link will be active for 1 week. If you miss it, please submit again the registration form.
Will I find my virtual data room if I forget to extend my account but then decide to access it?
We will keep a backup of your virtual data room for a period of 1 year after your subscription expires. If you request an extension within this period, you’ll be able to restore your entire virtual data room, including the entire structure of files, folders, users and permissions.
Can I manage multiple virtual data rooms within my account?
Yes, you can. However, you should send us a request for each virtual data room separately.
How can I reset my password?
If you have forgotten your password, click on the “Forgot?” link in the Password field in the Sign in form, enter your email and check your inbox. You must have received an email with a link. Please follow it and enter your new password.
Virtual Data Room Management
What do I need to use TrueDataShare?
All you need is a PC/laptop or a mobile device with a browser and an Internet connection. TrueDataShare is accessible directly from your browser. You don’t need to install any add-ons, plugins or programs.
How to set up a virtual data room?
After your virtual data room request has been approved follow these simple steps: 1. Create folders and upload files 2. Define teams of users 3. Set team permissions per folder 4. Add users to the teams If you are interested in our Virtual Data Room Management services, please contact us, and we will make sure you get the support you need.
I have added users but they don’t see any documents – why?
You have probably invited the users before defining their permissions. Please go to the People section of your virtual data room and double-check whether the teams these users are organised into have been given folder permissions. If no, set permissions by choosing access levels per each folder. If this is not the case, please contact our Support Centre.
How are permissions set?
There are 2 ways to define permissions: per team in the People section, or per folder from the Documents section.
Can I download all virtual data room content at once?
Yes, you can. There is a Download option in the Documents section of your virtual data room.
What file formats are supported?
Standard supported formats: 'jpg', 'jpeg', 'gif', 'png', 'pdf', 'doc', 'docx', 'xls', 'xlsx', 'xlsm', 'odt', 'ods', 'pps', 'ppsx', 'ppt', 'pptx,' 'rtf', 'txt Additional file formats can be added on demand.
I can’t upload/open a file. What can I do?
Here are some possible reasons for this with the respective actions we recommend: The file format is not supported (see above). Convert the file into a format that is supported. If this is not possible, please get in touch with our Customer Service to discuss alternative solutions. The file is encrypted (locked with a real or empty password) which hinders the watermarking. For security reasons, if a document is not watermarked it can't be previewed or downloaded. Contact the file owner and ask them to send you an unlocked version of the file.
Some Excel Files don’t appear correctly in file preview. What should I do?
Print Area needs to be properly set prior upload. Find support on Microsoft Support Centre.
Security
Do you have access to the files in my virtual data room?
With the standard account, we don’t have access to your files and user management console. In case you have subscribed for a virtual data room management service we need such an access in order to help you set up and administer your data room. You will have at your disposal a dedicated team of trusted TrueDataShare employees who will sign an NDA with you.
How do you protect the ownership of my files?
The sharable files within your virtual data room will be available for preview in a proprietary viewer, and with embedded watermarks designating the owner of the file and the user who is previewing it. Tiered permissions options to define eligible actions of the virtual data room users. Additionally, you can add a digital version of an NDA, which all users will need to accept in order to access the virtual data room.
